Dovetally keeps the books of small businesses: income, expenses, mileage, sales, stock and the paperwork for tax time. This page explains what information Dovetally handles, where it is kept, who helps us run the service, and what you can ask of us. "Dovetally", "we" and "us" mean the people who run Dovetally; "you" means the person using it.

The short version

  • On the free plan, your books stay on your device. They are kept in your browser's storage and are not sent to us.
  • On Pro, your books are kept in our cloud so they can sync between your devices and be shared with the people you invite.
  • We don't sell your data, show ads, or use tracking tools on this website or in the app.
  • When you use an AI feature, the content needed for that request is sent to the AI provider that handles it (listed below).
  • You can export your books at any time, and ask us to delete your account by writing to [email protected].

Information we handle

Your account

You can use the free plan without an account. If you create one, we keep your email address and, if you sign in with Google, the name and profile picture Google shares with us. Passwords are handled by our sign-in provider and stored only as a secure hash; we never see them.

Your books

On the free plan, everything you enter (records, receipts, sales, stock, customers, mileage) is stored on your device and stays there. If you lose the device or clear its storage without a backup file, we cannot recover your books.

On Pro, your books are also stored in our database so they sync between your devices. This includes the records you enter, the documents and photos you upload to be read into your Inbox, and the people you invite to a workspace (their email, role and, for cashiers, the shops they work in).

Dovetally Agent and other AI features (Pro)

When you ask the agent a question, upload a receipt or document to be read, scan a paper order, or speak to the app, the content needed for that request is sent to an AI provider to produce the answer. This can include your message, the parts of your books the agent looks up to answer, the document or photo, and the audio. Your conversations with the agent are kept on your device. Our server keeps a record of each request (when it ran, which tools it used and how much of your allowance it took) and, while an action waits for your approval, the conversation that action belongs to. The agent asks for your approval before it deletes anything, changes your tax setup, changes sales or stock, or sends anything outside the app.

Reading a receipt on the free plan

On the free plan, the expense form reads a receipt photo on your device. The photo is not sent to us or to anyone else.

Location, for mileage

If you allow it, the mileage screen uses your device's location to record a trip. To turn coordinates into addresses and draw the route, the coordinates are sent to OpenStreetMap's address and routing services. To show the map, your device loads map images from OpenFreeMap and Esri, which see the area you are viewing and your IP address. You can always type addresses instead.

Payments

Pro is paid through NOWPayments. We keep your plan, its dates, the order and payment status, and the email we send receipts and renewal links to. We do not receive your card number or your wallet's private keys. If you ask for a refund, we keep the reason you give and the wallet address you want the refund sent to.

Notifications

If you turn on notifications, we store a push subscription for that browser so we can send you reminders about your books. They are delivered through your browser's push service (for example Google, Apple or Mozilla). You can turn them off in the app or in your browser.

Technical information

Our servers record basic technical information when your device talks to them, such as your IP address, the kind of browser or device, the time, and errors, so we can keep the service secure and working. We don't use it to build a profile of you.

When you write to us

If you email us, we keep the message and your address so we can reply.

Google user data

Dovetally uses Google in two ways, and only when you choose to:

  • Sign in with Google. We receive your email address, your name and your profile picture, and use them only to create and identify your account.
  • Backups to Google Drive (Pro). If you connect Google Drive, Dovetally asks only for access to the files it creates itself (the drive.file permission). It saves backup files of your books in a "Dovetally backups" folder and cannot see any of your other files. The access token is stored encrypted and used only to make and restore those backups.

We don't sell Google user data, use it for advertising, or use it to train AI models, and no person reads it unless you ask us to for support or the law requires it. Dovetally's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. You can disconnect Google Drive in the app's settings, or remove Dovetally's access at any time at myaccount.google.com/permissions.

Who helps us run Dovetally

We use these service providers. Each receives only what it needs for its part of the service:

ProviderWhat for
SupabaseSign-in, the database for Pro books, and file storage for uploaded documents
CloudflareDelivering this website and the app, and our domain's DNS
IONOSThe server that runs Dovetally Agent and document reading
DeepSeekThe AI model behind Dovetally Agent
WaveSpeed AI, Baidu AI Studio (PaddleOCR)Reading the text of receipts and documents (Pro)
OpenAIReading photos and turning speech into text, for the features that use them (Pro)
NOWPaymentsTaking payments for Pro
ResendSending receipts, renewal links and account emails
GoogleSign in with Google and Google Drive backups, when you use them
OpenStreetMap, OpenFreeMap, EsriAddresses, routes and map images for mileage

These providers may process data in the United States and other countries. We may update this list when we change providers; the current list is always on this page.

We share information with others only with your consent (for example, the teammates you invite), or when the law requires it.

Storage on your device

The app stores your books, settings and sign-in session in your browser's storage so it works offline. We don't use advertising or analytics cookies.

How long we keep information

  • Account and Pro data are kept while your account exists. If Pro ends, your cloud copy is kept so it is there if you upgrade again, unless you ask us to delete it.
  • When you ask us to delete your account, we delete it and its cloud data within 30 days. Copies in our database backups are gone within the following 30 days.
  • We keep payment records for as long as tax and accounting law requires.
  • Technical logs are kept for a short time, then deleted.

Your choices and rights

You can see, change and export your books in the app at any time. To get a copy of the account information we hold, correct it, or delete your account and its data, write to [email protected] from the address of your account. Depending on where you live, you may have further rights, such as objecting to some processing or complaining to your data protection authority, and we will help you use them.

Security

Data is sent over encrypted connections. In our database, each workspace's data can be read only by its members, and the tokens that connect Google Drive are stored encrypted. No system is perfectly secure; if a breach affects your data, we will tell you.

Children

Dovetally is a tool for running a business and is not meant for children under 16. We don't knowingly collect their information.

Changes to this policy

If we change this policy, we will update the date at the top. If a change matters, for example a new kind of data or a new use, we will tell you in the app or by email before it applies.
